Swansea Conversations (an initiative of Waterfront Community Church, which acts as the data controller) is responsible for handling the personal data you submit through this website. We operate independently but in partnership with Waterfront Community Church, who support this outreach initiative by hosting the landing page and sharing their statement of beliefs. Some of our volunteers are members of Waterfront Community Church and assist with responding to enquiries. Waterfront Community Church hosts and administers the website and a small number of its authorised staff can access form submissions for website administration or support. Swansea Conversations uses the information to respond to enquiries.

2. What information we collect

When you fill in our contact form, we may collect:

• Your name
• Your email address
• Your phone number
• Your postcode or general location (if provided)
• Any message or information you choose to share with us

We do not collect more information than we need. If you voluntarily choose to include sensitive personal details (such as health or religious beliefs) in your message, we will only process this information to respond to your specific request.

3. Why we collect your information (lawful basis)

We collect your information so that we can:

• Respond to your enquiry

• Contact you about the topic you asked us about

• Arrange a conversation, meeting, or follow‑up if you request it

We process this data on the basis of legitimate interests (Article 6(1)(f) of the UK GDPR). Our legitimate interest is to efficiently manage and respond to enquiries submitted to Swansea Conversations through our website.

We use your information only for the purpose of responding to your enquiry and providing any follow‑up you have asked for.

We may contact you by email, phone, SMS, or WhatsApp if you have provided those details and it is appropriate for your enquiry.

We do not:

• Sell your data
• Share your data with advertisers
• Use your data for unrelated purposes

Access is limited to authorised Swansea Conversations volunteers involved in responding to enquiries and Waterfront staff who administer or support the website.

5. Where your data is stored

Your form submission is stored in the administrative backend of Waterfront Community Church’s website. To help us respond to your enquiry, information submitted through the form is shared by email with relevant Swansea Conversations volunteers, who use it only to discuss or respond to your enquiry. Email providers may process the information as part of sending and receiving those messages.

6. How long we keep your information

We keep your information in the website backend and in forwarded emails for as long as necessary to respond to your enquiry and provide any follow‑up you request, and no longer than 24 months unless you ask us to delete it sooner. You can request deletion at any time.

7. Who we share your information with

We do not share your personal data with third parties except:

• Authorised people who administer or support Waterfront Community Church’s website
• Email and website service providers that process the information on our behalf

We do not share your data with advertisers. We also do not use automated decision-making or profiling

8. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Ask us to correct inaccurate information
• Ask us to delete your information
• Object to or restrict processing (including the right to object at any time to our reliance on legitimate interests)
